What happens to my payment if I need to cancel or postpone my booking?

This policy reflects standard industry practice for professional sole-trader services. Please note that by booking, you are engaging with Tim, a full-time, professional DJ whose services constitute his primary occupation, distinguishing him from part-time or hobbyist providers.

💰 Artist Non-Appearance and Liability

In the unlikely event that the artist is unable to appear due to unforeseen circumstances or illness, the artist will make every effort to find and secure a suitable, professional DJ to cover the scheduled event.

It is explicitly agreed and understood that, regardless of the circumstances, the artist's liability for compensation to the Management shall not exceed the amount equal to the total sum already paid by the Management.

📅 Management Cancellation Terms

Should the Management be required to cancel the confirmed engagement, the following obligations will apply:

Cancellation PeriodManagement Obligation / Payment Due
Any cancellation before the 12-week mark50% of the Total Fee (£) is Non-Refundable
Cancellation made during the 12 weeks prior to the engagement date80% of the Total Fee (£) is due
Cancellation made during the 8 weeks prior to the engagement date100% of the Total Fee (£) is due

Reasoning for the 50% Non-Refundable Fee:

The initial 50% of the Total Fee functions as a non-refundable retainer. This payment is necessary to secure the specific date on the artist's professional calendar and immediately compensates the artist for the associated lost opportunities, administrative costs, and initial planning time incurred from the moment of booking confirmation, regardless of a future cancellation.

⚖️ Principle of Fairness

To the Artist (Tim): This fee secures your specific date, compelling the artist to decline all other booking inquiries for that time. The retainer compensates for this lost opportunity cost and necessary early administration.

To the Customer: By adhering to this professional structure, you are securing a highly committed, full-time professional service and benefit from the mitigation clause below.

Flexibility and Mitigation Clause:

Replacement Booking: If the artist successfully secures an alternative booking for the exact date and time of the cancelled engagement, the Management will not be liable for any further payment obligations (80% or 100%). However, the initial 50% Non-Refundable Fee shall remain retained by the artist.

Rescheduling: If the cancellation occurs during a documented slow period (non-prime date), the Management may propose rescheduling to an alternative day. This rescheduling flexibility is strictly conditional on the date falling within a slow period and does not apply to prime or extremely popular dates.
